  • Firearms Licence Expire Dates to be checked and maintained by the Health and Safety Officer.

  • Any allergies/medical information

How is your personal information used and why we have it 

Most of the personal information we process is provided to us directly by you for one of the following reasons: 

Information Reason 

Name/Personal Identifiers to correctly store any information against your membership records while you are an active member of the Association 

Contact Address, Telephone number, E-mail Address  

Firearms Licence Expirer Dates to ensure we can verify that if you are battling or using a section one firearms that you are legally able to do so and per the condition outlined by the insurance company. 

Next of Kin, Telephone No. In case of emergencies. 

Any allergies/medical information in case of any medical emergencies that should they arise. 

Banking Details – in case any refunds are to be made but this will be requested at time of transfer in a secure way. 

 

Your personal information is obtained when you have joined the Association and become a fully paid member via completing a membership form, this will be checked/renewed each year. 

 

Your information that you supply is used  

  1. For the board to contact you, with regards to your membership
  2. Complete your membership onto the insurance policy by the Association currently with Country Cover Club – details are entered onto the portal and confirmation email will be sent direct to the member from the insurance company. 
  3. Any communications regarding events
  4. Medical reasons where we may need to contact next of kin or emergency services
  5. Any discipline reasons/investigations

This may be shared with other direct members of the Association i.e., the NWW2 Association board and or the insurance company for sharing your details to ensure appropriate insurance cover while attending events.  

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are as follows: – 

Your consent at any time you can request the removal of your personal details at any time. You can do this by contacting the Association Secretary @ secretary@nww2.org.uk 

We have a contractual obligation. 

We have a legal obligation. 

We have a vital interest. 

We need it to perform a public task. 

We have a legitimate interest. 

 

How we store your personal information 

Your information is securely stored by the Association Secretary on a laptop purchased sole for the use of the secretary of the NWW2.  This electronic system is encrypted, and password protected and will only be used for the purposes by the Secretary of The Northern World War 2 Association. 

Your personal information for the duration of your membership will be held by The Northern World War 2 Association. We will then dispose of your information and any personal information held electronically will be permanently deleted from the system, or in the case of physical documentation by shredding/burning.  If you decide to not renew your membership, your information will be destroyed one year after then lapse of your membership. Or anytime you wish to leave the association you can contact the Secretary to remove your personal details, and this will happen immediately.

Under data protection law, you have rights including: 

Your right of access – You have the right to ask us for copies of your personal information. 

Your right to rectification – You have the right to ask us to rectify personal information you think are inaccurate. You will also have the right to ask us to complete information you think is incomplete on your behalf.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing – You have the right to object to the processing of your personal information in certain circumstances. 

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances. 

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
